The notice for the AGM was sent out on 28 October 2011 and the following was attached:

  1. Minutes of the fourth AGM held on 5/10/2010
  2. Proxy and Director’s Nomination forms
  3. HOA Financial statements for year ending 30 June 2011
  4. Rules of Conduct
  5. Chairman’s report to the HOA of Amberfield Manor Estate

The meeting will take place on 24 November 2011 at 19:00 at Remax Boardroom, 134 Willem Botha Avenue, Eldoraigne.

Members/Residents should take note that Security shall not allow any casual worker into the Estate anymore before they have phoned the Member/Resident to authorise such entry. The Member/Resident can also advise the Estate office of such entry with the Name/Surname, dates of entry, and the date when the authority should be cancelled.

It is high risk to just take these people in or let them in if they are not properly registered at the Estate/Security Office.  Should we have the dates they are allowed to enter, this will allow us to put an expiry date on the authority and block any unauthorised entry thereafter.

The assistance of Members/Residents in this regard will be highly appreciated

The Task Team would like to report that they have now assessed 198 of the 210 suggestions received, a total of 94.3% completed. We now have 12 suggestions left that needs to be discussed with an attorney. Arrangements will be made to have the discussion during the week 15/8/2011 and do not for see any costs to be involved.  To enable us to complete the suggestions after the meeting we need approximately 8 hours of work.  Thereafter it will be presented to the Board of Directors for discussion and approval, after which it will be presented to the Tshwane Municipality and SARS for their approval before we start with the next section which is the new Company’s Act requirements.
